Responsible use. Human accountability.
Rockford Housing Authority (RHA) may use approved artificial intelligence (AI) tools to support communication, research, and routine work. Our AI Usage Policy sets standards for protecting information, reviewing AI-assisted work, and keeping people responsible for decisions and services.
AI may help RHA staff prepare general information, draft newsletters and other communications, develop templates, summarize non-sensitive information, and complete routine tasks. AI tools and proposed uses must follow RHA’s review and approval process.
RHA’s policy requires AI-generated work to be checked for accuracy, fairness, and compliance with applicable requirements. Public communications require human editing and final approval by RHA’s Chief Artificial Intelligence Officer (CAIO). RHA representatives remain responsible for the work, communications, and decisions they produce with AI assistance.
RHA’s policy prohibits using AI for housing eligibility or admissions decisions, voucher calculations or determinations, resident-services decisions, job-candidate screening and personnel decisions, or legal interpretations and regulatory determinations. AI does not replace the authorized staff, established procedures, or official notices that apply to your situation.
AI can produce information that is incorrect, incomplete, misleading, or out of date. AI-generated responses should not be treated as an official determination or relied on alone for an important decision. Please confirm questions about your application, benefits, rent, required documents, or deadlines directly with RHA staff. Continue to follow official RHA notices and program requirements.
RHA’s policy limits AI use to non-sensitive information and prohibits entering personal identifying information, resident or applicant records, employee information, health information, and other confidential data into AI tools.
Please do not enter Social Security numbers, dates of birth, financial account details, medical information, passwords, or confidential housing documents into an AI chat or prompt. Use RHA’s designated application and service channels, or contact staff for guidance on how to provide documents securely. Read our Privacy Policy for information about website data practices.
When AI makes a substantial contribution to formal public communications, RHA’s policy requires a dated disclosure. If approved AI tools are used to record, transcribe, or summarize a meeting, participants must be informed. If any participant declines, the AI tool must be disabled for that meeting.
Contact RHA if you have questions about AI use, notice an error, or need help with your individual situation. You can also ask about language assistance or an accessible format.
